Sailing Manifests

Ship&Play provides sailing manifests so your ship team knows exactly which guests have bags arriving and when.

What's in the manifest
  • Guest name & cabin number
  • Number and type of bags
  • Ship&Play order number
  • Pickup date and carrier
  • Expected port arrival date
  • Special handling notes (if any)
Manifest timeline
  • 2-week manifest: All booked guests, sent ~14 days before sail
  • 3-day manifest: Final confirmed arrivals, sent to port agent 3 days before sail
  • Day-of update: Available on request if late bookings occur
Setup: Manifests are delivered as Excel spreadsheets via email to your designated operations contact. Contact jcase@shipplay.com to register your preferred email address and delivery format.

Embarkation & Disembarkation SOPs

How Ship&Play interfaces with your port team and the port agent on sail days.

Embarkation Day

The port agent delivers all Ship&Play bags to Guest Reception by 9am on sail day. Bags are tagged with the guest's name, cabin number, and Ship&Play order number — the same format your team already handles for standard checked luggage. No special handling is required. Your team distributes bags to staterooms per normal embarkation-day procedure.

Disembarkation Day

Guests with disembarkation shipments set their bags outside their stateroom door the night before — tagged with Ship&Play labels. Your Guest Services team collects them to Guest Reception per normal procedure. The port agent arrives the following morning to pick up and hand off to the carrier for home delivery. No coordination with Ship&Play is needed from your team.

If a Bag Is Missing on Sail Day

Contact Jake Case at jcase@shipplay.com immediately with the guest's name, order number, and sail date. Jake has direct lines to all port agents and will resolve the situation within hours. Do not tell the guest their bag is lost — tell them Ship&Play has been alerted and is making this a top priority.

How to Find a Guest's Label

If a guest needs a replacement label, lost their confirmation email, or has a tracking question — use these three lookup methods in order.

1. Sailing Manifest

Cross-reference the 2-week or 3-day manifest (emailed by Ship&Play) against the guest's name to confirm their order number and expected delivery date.

2. Confirmation Email

Ask the guest to check their inbox and spam folder. The booking confirmation contains their order number and a direct link to download and print their labels.

3. Concierge Lookup

Call (855) 566-2085 or email concierge@shipplay.com with the guest's name and sail date. The team can resend labels to the guest within minutes.

Requesting Onboard Supplies

Ship&Play provides all onboard materials at no charge. Resupply any time by contacting Jake Case.
